 Google Workspace, brought to us by Google on October 6th, 2020. A new friend to productive employees from any sector, Google's suite of smart apps.  We primarily recommend Google Workspace for customers who need email hosting for their business.  However, Google Workspace is much more than just email.  It also includes a variety of applications and features that can be easy to use.


 What is Google Workspace?


 Google Workspace is a new suite of productivity tools from Google.  It brings all our favorite G Suite tools - Calendar, Gmail, Drive, Docs, Slides, Meet, Keep, Forms, Locations, Streams and Sheets - even closer together under a neat, tidy and colorful canopy.  To understand what really changed, we can take a look at the history of G Suite.  It is an update.  It's G Suite;  Repackaged, rebranded and reorganized to meet your productivity needs.  Let's be honest here, Google Workspace looks a lot better than Google Apps for your domain.


 So, is it a simple renaming, or a fearless journey into undefined productive measures?  Either way, Google promised a highly integrated user experience, a completely new identity, and solutions tailored to different sectors.


 Why did Google introduce Workspace?

 You may have heard that the world has changed more than anything else, our working lives have changed.  We can't troubleshoot head-on, we can't go to work.  The job is no longer working.  In response, Google took a look at their current tool to see how they could create a kind of digital office for their users.  Google Workspace was developed to encourage effective collaboration, bringing teams closer together...when they're not together.


 The most important components of Google Workspace


 Google Workspace has three different plans that you can use (which we'll dive into later).  We are using a basic Google Workspace plan for employees.  This starts at $5 per user per month.  For many of you, the Basic Plan is probably all you'll need.  Here's what it includes:


  1.  Gmail

 According to Litmus, Gmail leads the way as the most popular email client, with 26% of market share based on open rates.  Not surprisingly, Gmail has been around since 2004 and now has more than 1.2 billion users.  One of the best things about Google Workspace is that you basically get an ad-free, optimized version of the online email client you might already be using.  Google Workspace basically allows your employees to have their own Gmail accounts with email addresses with your business domain name (eg: john@yourbusiness.com.


2. Google Calenda

None of us can live without Google Calendar.  Many of us rely on it to schedule calls with clients, set due dates, and reminders for important projects.  Google Calendar can help you keep your schedule organized.  One of the great things about using Google Calendar in Google Workspace is the ability to create multiple calendars that everyone in your company (or even a subset of users) can access.  For example, you might want to have a group calendar for events like team holidays and regular meetings.  Connecting all your employees to the same organization makes such tasks easier compared to the free version.


3. Google Drive

 Google Drive lets you store, access, and share your files in one safe place.  You can then easily access it from any device.  Google Workspace Basic plans come with 30 GB of storage per employee.  Google Workspace Business, Enterprise, and Teams editions offer unlimited storage, so you'll always have enough space for your files.  Note: If you are a smaller team with less than 5 users, you only get 1 TB per user.

 The paid version of Google Drive gives you twice the storage space of your free Personal Drive and Gmail, 24/7 support, sharing controls, and advanced reporting.


 5. Google Docs and Google Sheets

 Google Docs and Google Sheets pretty much speak for themselves, and again they are tools we use every day.  You can even import Google Docs into WordPress.  This allows you to create and edit text documents and spreadsheets right in your browser.  Import your documents to make them instantly editable, including Microsoft Word, Excel, and PDF files (.docx, .doc, .pdf, .rtf, .txt, xlsx, .csv, .html, .ods).  As of February 2018, you can now collaborate and comment on Microsoft Office files without having to automatically convert to the Google format.


 6. Google to save information

 Google Keep seems to be one of those well-kept secrets that no one knows about.  If you are looking for a basic Evernote alternative then Google Keep rocks!  This is a great little tool regardless of whether you use Google Workspace or not.  Being a Google product, it works flawlessly within the Google ecosystem.  It can be an easy way to keep frequently asked questions from customers in a convenient place.


 7. Google Workspace Admin Console

 The Google Workspace admin console allows business owners to easily manage everything from one place.  It has recently been fixed and is much better than it used to be with Google Apps.  Do everything from adding new users and groups, managing devices, configuring security settings (like two-factor authentication), and adding new custom domains for your business that can be used in Gmail.  Most, if not all, features in Google Workspace must be enabled by the administrator in order to be used.  Some are also only available on higher planning.


 How to sign up for Google Workspace


 We personally believe that Google Workspace is your best choice for email hosting and other tools, which is why we recommend it to all of our customers.  They also offer a 14-day free trial, so you can try it out before committing to anything.  Their setup process is also very easy.  Here are some quick steps to get started with Google Workspace for your business:


 Step 1

 Sign up for your free trial.


Step  2

 Activate your account by logging into the Google Admin console.  (Note: Sign in with your Google Workspace email address and password. (This address ends with @yourbusiness.com, not your gmail or personal Google account.)


 Step 3

 In the Admin console, click Start Setup to launch the setup wizard.  You'll give each team member an email address at your domain (eg john@yourbusiness.com), so they can start using Gmail, Calendar, Meet, and all other Google Workspace services.  You can also add additional users manually at any time.  If you have additional domains, you can also add them or create email aliases.


 Step 4

 In the Admin console, you will then need to follow the steps to verify that you own your domain.  You will get a verification code to add to your website or domain settings.  Google Workspace has excellent instructions for literally every DNS registrar and DNS provider on how to verify your domain.  If you're coming from another email host, like GoDaddy, BlueHost, OVH, or Office 365, you'll likely also need to migrate messages

 Note: If you are just getting started with your business email for the first time, you can skip the migration process mentioned above.


 Step 5

 The final step is to follow the Google Workspace quick start guides to set up additional apps, such as Google Drive, Google Calendar, Google Contacts, etc., and that's it!


 Features of Google Workspace


 Google made a three-step promise about Google Workspace for a monthly subscription fee.  What really sets it apart from G Suite are its collaboration tools, both between apps and between team members.  Workspace helps you get more done with your colleagues, by unlocking and running fewer tasks.


  •  A fresh and deeply integrated user experience.


 Communication tools are grouped together.  All of Google's communication tools (chat, Gmail, voice, content management, and video calls) are bundled together to help teams collaborate and simplify customer experiences.


 Integration preview link.

 Simple, time-saving, tab-saving.  Instead of having to open a new tab to visit a link in a document, spreadsheet, or slideshow, users can now preview the link simply by hovering their mouse over it.


 Collaborate on Docs right from the chat.

 that's cool.  Workspace users can create a document dynamically with guests in the chat room.  It doesn't matter if it's colliding with teammates or third parties, everyone can create and edit a document in real-time synchronization.


 The smartest signals and shouts.

 Now, when a user mentions someone in a document, the smart chip provides contact details, for people inside and outside the organization.  This provides a CRM-like context for interactions and suggests actions that can be taken with the contact.


 Meet is getting an upgrade.

 Two upgrades, to be exact.  Meet works across more devices now, and you can see a colleague's face or picture-in-picture as you work on a document, spreadsheet, or slideshow together.


  •  A new “ambitious” brand identity.

 He's the one we've all been waiting for.  Google has redesigned five of its icons, Docs, Gmail, Calendar, Drive and Meet, to reflect the way its products work together.  Hold on to your seat holders, there they are...Documents, Meet, Gmail, Calendar, and Drive (from left to right).


  •  A new way to get started with your industry.

 Every business is different.  Google's new Workspace platform has added new subscription plans to reflect this change, catering to small, medium and large businesses at the same time...but at different prices.  Each plan includes Gmail, Drive, Meet, Calendar, Chat, Docs, Sheets, Presentations, Keep, Sites, Forms, and Streams.  They differ in the support and storage they provide.


 All-new workspace security feature.


 Improving productivity tools means increasing productivity.  With Workspace, all your work and data will flow to and from Google's servers.  Now, I imagine Google's servers are very large and contain a lot of stuff;  Security and privacy is paramount.  As a result, some new security features are also coming in to protect your data and privacy when using Google Workspace.

 Meet intelligent discovery capabilities to prevent unknown and potentially abusive users from interrupting meetings.


 Much needed automatic classification of spam chat rooms.


 All new data protection insights for Gmail.


 Redesigned rules page in the Google Workspace admin console, which centralizes Google rules for creation, discovery, and management.  It's no surprise that the giant Google has the latest industry-leading cloud security technology.  They have the technology, resources, and awareness for you to make sure all of your Google data is safe.


 Disadvantages of Google Workspace


 To be completely honest, there aren't many flaws we've found when using Google Space, and our team has used it for over four years.  Although it definitely depends on your type of business.  Here are some things you might consider:


  •  Google Workspace is entirely web-based and has no software options.  If you're familiar with Microsoft Office, you may find that Google Docs and Sheets aren't as powerful.


  •  Office 365 continues to win the enterprise market, while Google Workspace is still catching up.


  •  Office 365 offers more storage right off the bat.  However, Google Space offers unlimited storage if you upgrade to higher plans.
